Administration Department

Office Manager
  • Review clerical records to ensure completeness, accuracy, and timeliness
  • Coordinate the activities and schedules of the office staff with each department
  • Assists in monthly closings
  • Perform data entry and verify that customer vehicle information is accurately recorded in the system, and that vehicles are properly tagged with a work order
Deal Processor
  • Process car deals and all bank paperwork
  • Balance debits and credits for calculations on Deals
  • Works with the sales department to obtain or correct all required documents
  • Verify information on bank documents
Payroll | HR Coordinator
  • Compile payroll data
  • Prepare and issue paychecks, prepare periodic reports of earnings, taxes, and deductions
  • Prepare/file all hiring and termination paperwork, including COBRA letters
  • Maintain records for vacations and sick-day eligibility
Warranty Clerk
  • Processes all warranty claims to ensure compliance with the Manufacturer(s)
Title Clerk
  • Processes vehicle titles and registration paperwork, ensuring all documentation is accurate and completed for each sale
Accounts Payable
  • Post invoices
  • Reconcile statements
  • Disburse checks
  • Balance statements and finalize data
New Car Inventory Manager
  • Manages the allocation of new vehicles and dealer trades for all new vehicles
  • Ensures there is a strong mix in our inventory and that every vehicle goes through a pre-delivery inspection
Used Car Inventory Manager
  • Stocks in and processes all trade-in and auctioned used vehicles
  • Ensures that the safeties, merchandising, and stickering for the lot's vehicles are completed
Marketing
  • Assists with the production of all traditional and digital marketing initiatives to promote the dealership

Sales Department

Cashier
  • Greets customers and processes payments efficiently
Receptionist
  • Answer dealership group phones
  • Greet and receive prospects and customers
  • Direct customers to the correct department
  • Does various office tasks as needed
Sales Consultant
  • Offer assistance or direction to any customer who enters the dealership
  • Assist customers in making a purchase decision by asking questions and listening carefully to their responses and needs
  • Explain product performance, application, and benefits to prospective customers
Business Development Center Manager
  • Develop and execute outbound internet and phone campaigns
  • Maintain sales and service forecasts
  • Ensure all leads are followed up with in a timely manner
  • Provide training and ongoing support to the business development representatives to help the team understand and achieve the dealership's goals
Finance Manager
  • Develop a comprehensive menu-selling process to maximize the finance department's overall profitability and product penetration
  • Track portfolio with lenders
  • Review and inspect the flow of the department's paperwork on a daily basis to ensure a timely turnaround on all deals
  • Ensure all deals are fully compliant with local, state, and federal guidelines
Sales Manager
  • Hire, train, and manage a team of automotive salespeople
  • Coach salespeople on best practices for closing deals and provide guidance to improve sales performance
  • Set sales goals, track progress, and manage the team to achieve and exceed those quotas

Service & Parts Department

Porter | Detailer | Lot Attendant
  • Clean and detail vehicles
  • Inspect each finished product
  • Clean areas of the dealership as needed
  • Help maintain the lot
Technician
  • Perform work specified on the repair order with efficiency and in accordance with the dealership
  • Test drive vehicles, and test components and systems, using diagnostic tools and special service equipment
  • Diagnose, maintain, and repair vehicle automotive systems
Parts Rep
  • Oversee the parts sales process from start to finish
  • Work with the parts manager to locate any parts not in stock
  • Complete the special order part request for the customer
  • Communicate with the customer on the parts status
Service Advisor
  • Obtain customer and vehicle information
  • Clearly report all vehicle symptoms as described by the customer
  • Determine and recommend maintenance based on age, mileage, and the history of the vehicle
Service Manager | Service Director
  • Maintain a service customer follow-up system that encourages repeat and referral business and contributes to customer satisfaction
  • Hire and supervise all service department personnel, as well as monitor their performance in servicing customers
  • Create goals and objectives for the department, which include an annual operating budget and a marketing plan to promote new business.
  • Maintain a high Customer Service Index (CSI) rating by handling customer complaints immediately and appropriately
Parts Manager
  • Forecast goals and objectives for the parts department
  • Hire, train, and monitor the performance of all parts department staff
  • Maintain inventory consistent with the requirements of the various departments
  • Create pricing guidelines for customer categories
